Change SharePoint Team Site logo, title and URL

A very common request when it comes to customising SharePoint Team Sites is changing the logo in the top left hand side of the site. This video will show you how to make that change along with changing the site title and URL if needed.

You’ll see how you can use either a logo you upload from your computer, from a location already in SharePoint as well as an image already on the Internet.

Customising a Team Site logo is the first step in branding and an important way for users to become more comfortable using it.

SharePoint Document Library check in tutorial

One of the features of SharePoint Document Libraries is the ability to check a document out. doing so provides you with exclusive write access to the document. Other can still view the document while it is checked out to you but can’t edit it.

You can check the document back in to update the version for everyone. It is also possible for an administrator to override a users check in if required.

SharePoint Online Document Library versioning video

Each SharePoint Online Document Library supports the ability to have versioning enabled. Once enabled this automatically creates a new version of each document in that library every time a document is edited. This is really handy if you potentially need to recover a previous version of the document. Also using the ability to enable minor or draft versions of a document you can also control who can view any drafts.

This video will give you an introduction to versioning in SharePoint Online Document Libraries. You’ll see how to enable it as well as how to configure the different options. You’ll also see how versioning works between two users with different rights to the document.

Troubleshooting Outlook in Office 365

One of the most common frustrations I see with people configuring Office 365 is setting up mailboxes. The frustration generally occurs when the autodiscover process fails.

The above video give you a good background on the autodiscover and Outlook set up process as well as the tools you can implement to resolve these frustrating issue. Normally, the solution is quite straight forward but you need to understand the process that Outlook uses when connecting to Office 365. This video will show you that and more.

Security before convenience or else

One of the technology ‘hobbies’ I enjoy is studying the impact of technology on crime. The above talk by Marc Goodman (A vision of crimes in the future) is very thought provoking and eye opening.

I am constantly amazed at how lax so many people are when it comes to their security. I am constantly stunned by how casual and naive people are when it comes to using technology. Most violate the most common security practices without any thought in the desire for convenience. They do things they would never accept in the physical world, yet on line, for some reason common sense abandons them.

This the world we all live in, today. Right now! My opinion, is we are making the world much more vulnerable. We are allowing a single ‘Black Swan event’ that could basically terminate the comfortable way we lead our lives today.

Information and Bio technology are advancing at such a rapid pace and if you think they are only being used for good then you REALLY need to watch this video and become afraid of what is possible.

The rules have changed. We are connecting a totally interconnected world where the failure or disruption of part can effectively bring down the rest of the system catastrophically.

My advice? Take security seriously. Get involved. Get informed and always make the choice of security over convenience.

Creating/Updating your About Me user profile in Office 365

One of the first things I think all users should be doing when they get access to Office 365 is update their About Me page to share information about themselves, their experience and skills with everyone in their organisation. The above video show you how to do exactly that but here also are the steps.

Firstly, login to the Office 365 portal. You should see screen similar to that above.

In the top right hand corner of the window select the people icon as shown above.

This will display a menu as shown above. From this menu select About me.

You will now see your profile page as shown above. If you haven’t updated this as yet it will look very bland.

Select the edit your profile hyperlink in the top right.

You can now edit any of the fields displayed. You will note that on the right hand side you’ll see the groups that can view that information. On this first screen that typically means Everyone.

To change your profile picture select the Change your photo hyperlink down the page.

From the window that appears browse to an image on your local system that you wish to use using the Browse button.

Once the image has been uploaded press the Save button.

Don’t forget to work you way across the menu options at the top and complete all the information you can. You navigate to these areas simply by clicking on the option.

As you do, don’t forget to note the selection on the right to determine who can see the information you are entering. On subsequent screens, like that shown above, it is possible to alter these.

If applicable, you are also able to select an assistant from existing Office 365 users. You can simply type their name or use the button to search your company’s Office 365 address book.

In the Details option you should ensure you have the latest information about your skills, experience and past projects. If existing items already exist, you will be prompted to select from those the system already knows about. You can of course create new ones and these will then be added to the global skills database,

The Details option is not the last screen. Select the ellipse (i.e. the three dots) to view more.

The Newsfeed Settings section allows you to control how often your receive alerts from social updates.

For most people the Language and Region options will be set by your organisation but you can change them if desired, however for most cases they should be left in their defaults.

Once all your changes are complete, always remember to scroll down to the bottom of the screen and select Save all and close.

You’ll be prompted that not all the changes will be updated immediately. Select OK to continue.

You should find soon that all the information you entered is updated and available to other employees as you can see above.

Remember to return to your profile regularly and ensure that it is always current. This will help other in your organisation find you and your skills.

Introduction to SharePoint Online Picture Library video

Images are a significant part of the data that resides on most hard disks. Getting this into SharePoint Online in Office 365 is a perfect way to make this information more visible and searchable.

In this video you’ll see how to add the Picture Library app to a SharePoint Online Team Site. You’ll also see how to upload images and edit their keyword and description fields for better searchability.

Configuring an Office 365 end users desktop for Office 2010

I am proud to announce that I have just published the one hundredth video to my YouTube channel.

This video provides a walk through of how to configure an Office 365 users desktop if they have Office 2010 by downloading and installing the Office 365 desktop setup client. This desktop setup is only required for those with Office 2010 or 2007 but not 2013.
